Can You Edit Existing Text in a PDF?

Correct an eligible original text run, rebuild a supported horizontal Latin paragraph inside a reviewed area, or add a separate new text box. These operations solve different problems. Scanned words, complex scripts and whole-document reflow remain outside this editor.

Choose a correction, addition or redaction

Correct an eligible printed amount through source replacement. Add a name or note in an empty area with Add text. Use a separately checked redaction workflow when confidential content must be removed; covering it with an overlay does not remove the source.

If a replacement is rejected for font coverage or layout, keep the original. Use the source Word or design file for page-wide reflow, a table restructure or unsupported script. For an eligible horizontal Latin paragraph that fits one reviewed area, the bounded paragraph operation may be sufficient.

Inspect the rebuilt source-text result

  • Check the intended run and every neighboring word.
  • Inspect the complete replacement, font, position and page edge.
  • Reopen the saved PDF and confirm the correction exists in that file.
  • Keep the signed source separately: saving an edit invalidates an existing cryptographic signature.

Replace one supported existing line

  1. Choose the PDF and open the page containing the line you need to correct.
  2. Wait for existing text detection, choose Edit existing text and click or tap an eligible run. Alternatively, use Find text on this page and choose the run from the accessible list. Double-clicking a run focuses the replacement field.
  3. Enter Replacement text and select Apply replacement.
  4. Review the rebuilt page preview for the correct words, font appearance and overlap with nearby content.
  5. Save changes, reopen the downloaded PDF and check the edited line against the original.

Wrap a supported paragraph inside a reviewed area

This is a source-object operation, not a white box over the page. It can rebuild eligible unrotated, opaque, unclipped top-level horizontal Latin text within a confirmed area, retaining original font resources and existing styles where supported. New wording uses the selected font. It cannot guarantee every mixed-style transition in a rewritten passage.

  1. Select the intended source text and choose Edit paragraph and wrap.
  2. Review the complete paragraph text. Preserve required names, amounts and sentences.
  3. Inspect the detected area and use the millimetre controls only when the intended change fits without covering unrelated content.
  4. Confirm the reviewed replacement area, then apply the paragraph change.
  5. Review the rebuilt page. Reopen the saved PDF and inspect every wrapped line, neighboring text and page edges.

The bounded operation accepts up to 40 lines, 6,000 characters and 150 source objects. Missing glyphs, complex shaping, clipped or rotated content, an overwide word, insufficient area or a collision prevent the change; keep the original instead of shrinking it blindly. It does not paginate or push other page objects aside.

Why some lines cannot be selected

PDF text is stored as positioned objects rather than ordinary Word paragraphs. A visible sentence can contain several objects or be part of nested artwork. Scanned pages can contain only images. The current source editor handles supported top-level single-line text objects; it does not automatically rebuild every sentence, table or paragraph.

The original font still limits the replacement

The editor preserves the original font, colour and transform rather than placing a white box over the words. Standard Helvetica, Times and Courier source editing supports printable ASCII. With subset fonts, a replacement may use characters verified in that same font across the PDF, within a bounded scan of up to 500 pages and 100,000 objects, and must pass the engine’s exact text check. A character in another font is not enough. Unsupported glyphs are blocked instead of being silently replaced.

Inline replacement keeps a single source run in place; a longer value must fit its visible area and avoid neighboring content. The inline limit is 2,000 characters. A separate paragraph operation can wrap eligible horizontal Latin text within a reviewed area; neither mode reflows the rest of the page. Check the preview and saved PDF.

Choose overlays for additions, not hidden removal

Choose Add text when adding a name, date or visible note to an empty area. An overlay does not remove source content beneath it. A source-text correction also does not provide a universal sensitive-information removal guarantee; use a separately verified redaction workflow when confidential content must be removed.

Keep the original source

Edit the original Word, presentation or design file when substantial wording or layout needs to change. Keep the original PDF while checking any browser edit. Password-protected PDFs remain unsupported, and saving changes invalidates an existing cryptographic signature.

PDF annotation versus editing existing text

Choose annotation for a visible review mark, an overlay for new content, and bounded source-text replacement for an eligible existing line.

Annotate PDF places one fixed horizontal highlight band and an optional visible note on one selected page. Edit PDF adds overlays and can replace eligible single-line top-level text objects. Scans, nested artwork and unsupported font glyphs remain outside source editing. A separate bounded paragraph mode supports eligible horizontal Latin text within a reviewed area.

Choose by the actual change

Use annotation to mark a page region without changing its wording. Add an overlay for a new date or note in empty space. Use Edit PDF’s Edit existing text or Find text controls to replace an eligible existing source line, then inspect the rebuilt preview.

Respect the different limits

Annotation does not select arbitrary words or provide a document-wide comment system. Source editing uses original-font glyph checks and does not edit image-only scanned words. Paragraph wrapping has a separate reviewed-area workflow for eligible horizontal Latin text; it cannot restructure the page. A visible overlay is not sensitive-content removal.

Apply a replacement before saving

For compatible source text, choose Edit existing text and click or tap the detected run, or use Find text on this page and the accessible run list. Enter Replacement text and choose Apply replacement so the preview reopens the actual changed PDF. Double-clicking a run focuses its replacement field. Original fonts are retained. Missing glyphs and complex scripts are rejected. Bounded paragraph wrapping is a separate explicit operation for eligible horizontal Latin text; it does not reflow a whole document. Use Add text for a new note in empty space.

PDF Reader, Edit, Annotate, Watermark, or Compare: Which Tool Should You Use?

Read the source, decide whether it needs an eligible source-text correction, a new overlay, a form value or a review mark, then use the corresponding tool and inspect its saved result.

Use PDF Reader to inspect, Edit PDF for supported existing-line replacement or new text and drawing objects, and Annotate PDF for visible review marks. Each tool has a separate purpose and creates or displays a different result.

Start by understanding the source

Check whether the page contains real text or only a scan, whether it has interactive form fields, and whether a cryptographic signature must be retained. Reader navigation and temporary rotation do not alter the source.

Choose the operation that matches the change

Edit PDF can add overlays and replace compatible single-line top-level source text runs. It also offers bounded wrapping for an eligible horizontal Latin paragraph within a reviewed area. It does not provide page-wide reflow, scan editing or unrestricted fonts. Annotate PDF adds supported visible review marks; its note is a visible page addition rather than a threaded comment system. For interactive fields use Fill PDF Forms instead.

Keep each handoff reviewable

  1. Inspect the unchanged source and decide what the recipient needs.
  2. Open it in the tool that supports that operation.
  3. Apply the change and save the new copy.
  4. Reopen that actual result and check placement, text and required features.
  5. Use the checked result in the next tool if another operation is necessary.
  6. Retain the original, especially a signed source.

FAQ

Can the editor replace words inside a scanned image?

Not through source-text editing. A scanned word is part of an image, and this workflow does not perform OCR or reconstruct the image as editable PDF text.

Why is a new character rejected?

The original font may not contain that character. Source editing uses bounded standard-font support or the glyphs verified in the original subset font; unsupported replacements are blocked.

Can a paragraph wrap after I change its wording?

Use Edit paragraph and wrap for eligible horizontal Latin source text inside a confirmed area. Inline replacement stays on its original line. Neither operation reflows neighboring blocks or moves content to another page.

Is this just a white box over the old text?

Eligible source-text replacement rebuilds the actual text object using the source font and transform. New overlays remain separate additions, so choose the operation that matches the task.

Can I select exact words or draw freehand annotations?

No. The current Annotate PDF control uses a fixed horizontal highlight band on one selected page, with an optional visible note.

Can Edit PDF change an existing invoice amount?

Yes, when it is a compatible visible single-line source run and the font supports the replacement. Apply replacement changes the PDF text object; it is not a white rectangle with a new overlay.

What does Annotate PDF create?

Adds a visible highlight band and optional note to the selected page; source content is not rasterized by default. One PDF ≤150 MiB with new annotation marks.

Does annotation replace an incorrect amount?

A review mark can point out an error, but it does not replace source text. Use an eligible source-text replacement or edit the original authoring file.

Can I edit a scanned paragraph as text?

Not through the bounded source-run editor. OCR and document reconstruction are different workflows; a visible scan remains an image.
